UAN, KYC and Employee Records

Contributions credited against incomplete records are the employer's problem to fix, and the employee usually discovers it at withdrawal.

Why incomplete records come back to you

Each employee has a Universal Account Number, and contributions credit against it. Where the KYC behind that number is incomplete or mismatched — a name spelled differently, a bank account not linked, an Aadhaar not seeded — the money is credited but the employee cannot easily withdraw or transfer it.

They find this out when they leave and try to claim. Then they come back to you, sometimes years later, and the correction is an employer-side job.

Getting KYC right at joining takes minutes. Fixing it for a former employee takes considerably longer and is nobody's favourite task.

What to get right at joining

  • Activate the UAN and confirm the employee has access to it.
  • Seed Aadhaar and PAN, with the name matching across all three.
  • Link the bank account in the employee's own name.
  • Check for an existing UAN. A new one issued to someone who already has one splits their record and creates a transfer problem later.
  • Mark the date of exit when they leave. An employee shown as still working cannot withdraw or transfer, and this is the most common complaint we see.
