Holding a certificate is not enough for MCA filings. It has to be associated with your role on the portal, and that is a separate step.
Association is the step that catches people
On MCA, a certificate is registered against a specific role — director, professional, authorised signatory — and the association is made on the portal after the certificate exists.
A director who has a perfectly valid certificate but never completed the association finds filings rejected, and the error message rarely says that is the reason.
The same applies after renewal. A new certificate needs associating again; the old association does not carry over.
What to check when a filing fails
- Is the certificate associated with the right role for the person signing?
- Does the PAN on the certificate match the record on the portal?
- Is the DIN active? A DIN deactivated for missing DIR-3 KYC blocks everything — see our page on DIR-3 KYC.
- Has the certificate expired since the last filing?
- Is the browser and token setup working at all, tested outside a live filing?

Where the professional certificate fits in
Many MCA filings are signed twice: once by a director or authorised signatory, and once by a practising professional certifying the filing. These are separate certificates held by separate people, and both have to be associated on the portal.
Companies sometimes discover this halfway through a filing, having arranged the director’s certificate and assumed that was all. The professional’s certification is not something a company can supply for itself — it is the point of the requirement.
Worth knowing before a deadline: if your professional’s certificate has expired or their membership details on the portal are out of date, the filing stops for a reason that has nothing to do with you. Ask them to check theirs when you check yours.
