DSC for TRACES and TDS Filing

TDS compliance runs across two portals and a deductor registration, and the certificate has to be right for the deductor, not the individual.

The deductor is the entity, not you

TDS obligations attach to the deductor — the business holding the TAN — and the certificate used has to correspond to that entity and its authorised person.

A common error is using a personal certificate issued for the individual's own income tax filing. That certificate is fine for its own purpose and wrong here, and the portal will say so unhelpfully.

Where a company deducts, that is an organisation certificate with an authorised signatory. Where a proprietor deducts, it may be the proprietor's own.

What TDS compliance actually needs

  • A TAN, separate from your PAN
  • Registration on the filing portal and on TRACES, which are different systems doing different jobs
  • A certificate matching the deductor, associated with the registration

  • Deposit by the 7th each month, which is the deadline that carries interest

The two portals do different jobs

People use “TDS portal” to mean both systems and then get confused about where something lives. They are separate, with separate registrations.

  • The filing system is where quarterly TDS statements are prepared and submitted.
  • TRACES is where you download Form 16 and 16A, view the deductor’s account, check defaults raised against you, and file corrections.
  • Defaults appear on TRACES, not in your filing acknowledgement — which is why deductors go months without knowing about a short deduction or a late-payment interest demand sitting against them.
  • Corrections are filed through TRACES for statements already accepted, and the process differs from an original filing.

The practical advice: log into TRACES quarterly even when nothing seems wrong. A default found in the same quarter is a small correction; one found two years later has interest attached to it.
