Signing a PDF with Your DSC

A digitally signed PDF is legally a signed document. It also breaks the moment anyone edits it, which is the point and also the thing people trip over.

What signing actually does

When you sign a PDF with your certificate, two things are recorded: that it was you, and exactly what the document said at that moment. Any change afterwards — even something as innocent as re-saving it in another program — breaks the signature, and the reader will show it as invalid.

So the practical rule is simple and people learn it the hard way: sign the final version. Not the draft you intend to tidy up, not the one you will add a page to. Once signed, the file should not be touched.

The same applies to combining documents. Merging a signed PDF into a larger file usually breaks the signature inside it.

A yellow question mark causes a great deal of unnecessary worry. It does not mean your certificate is bad and it does not mean the document was tampered with. It means the reader has not been updated to trust Indian certifying authorities.

Practical points

The token must be plugged in and its driver working. If the signing option does nothing, that is usually why.
Some recipients require a visible signature appearance with your name and date. Departments in particular. Ask before sending.
Some require a timestamp. That is a signing setting, not something the recipient can fix at their end.
Keep the signed original. Send copies; do not re-save the file you signed.
