Documents Required for a DSC
Two different lists, depending on whether the certificate is in your name or your organisation's. Getting the wrong list is the most common reason an application stalls.
Which list applies to you
Before the documents, one decision: is the certificate for you as a person, or for your organisation with you as the authorised signatory? They are different certificates with different documents, and a certificate issued on the wrong basis has to be reissued rather than corrected.
As a rough guide: a proprietor filing their own returns needs an individual certificate. A company, LLP, partnership firm, society or trust that files as an entity needs an organisation certificate. If your portal registration is in the firm's name, the certificate almost certainly needs to be too.
Individual certificate
- PAN card — the name on it is the name that goes on the certificate
- Aadhaar or another accepted identity and address proof
- A passport-style photograph
- Email address and mobile number you can access during verification — both get OTP-verified, so an old number you no longer use will stop the application
Organisation certificate
- Everything from the individual list, for the person who will be the authorised signatory
- The entity's PAN
- Registration proof for the entity — certificate of incorporation for a company or LLP, partnership deed for a firm, registration certificate for a society or trust
- GST certificate where the entity is registered
- An authorisation letter on letterhead, signed, naming the person who will hold the certificate
- A board resolution for companies, where the certifying authority asks for one
What actually causes rejections
Not missing documents — those get asked for and supplied. What causes real trouble is inconsistency between them.
- Name spelled differently on PAN and Aadhaar. The certificate follows PAN, and if your portal registration follows something else, the signature will not map.
- An unreachable mobile or email. Verification is by OTP, so this has to be a number and inbox you have in front of you.
- An entity name that does not match across documents. GST reading one form of the name and incorporation reading another is a problem to fix before applying.
- An authorisation letter that is undated or unsigned. Simple, and it costs a day.
