Updating Firm Details in PWD Registration

A registration that shows the wrong partners or the wrong address causes trouble at exactly the wrong moment - during bid evaluation.

Why stale details cause bid rejections

During evaluation, the department checks that the bidder in front of them matches the registered contractor. Where the firm has changed — a partner left, the constitution changed, the address moved, the name is spelled differently — the mismatch is a question mark on a bid, and questions at that stage are answered by rejecting.

It is entirely avoidable, and updating is far quicker than arguing after a rejection.

What has to be updated

  • Change of partners or directors, with the amended deed or resolution
  • Change of constitution — proprietorship to partnership, partnership to company. This is the biggest one, because it is a new entity with a new PAN
  • Registered address, matching what GST and the bank show
  • Firm name, including a spelling correction that seems trivial and is not
  • Bank account details, which matter for security deposit and payment release
  • Technical staff where an engineer whose credentials supported the class has left

Constitution change is the one to plan around

Converting from a proprietorship to a partnership or company creates a new legal person with a new PAN. Whether your completed-work record carries across to the new entity depends on the department's rules, and the answer is worth having before you convert rather than after.

Contractors have converted mid-cycle for tax reasons and found their experience credentials did not follow. Ask first.

Common questions

Update it before your next bid. An evaluator who spots it during evaluation will treat it differently from a firm that corrected it voluntarily.

Update it anyway. Communications and notices go to the registered address, and a missed notice is a bigger problem than the update.
